The Operations Coordinator will play an important role in connecting job seekers, Divino’s internal team, and our clients. This position is responsible for coordinating incoming job seekers, managing worker availability, receiving client staffing requirements, scheduling workers for assignments, and ensuring timely communication between all parties. The ideal candidate is highly organized, responsive, comfortable communicating with a large number of people, and able to adjust quickly when schedules or client requirements change. The Operations Coordinator will play an important role in connecting job seekers, Divino’s internal team, and our clients. This position is responsible for coordinating incoming job seekers, managing worker availability, receiving client staffing requirements, scheduling workers for assignments, and ensuring timely communication between all parties.
The ideal candidate is highly organized, responsive, comfortable communicating with a large number of people, and able to adjust quickly when schedules or client requirements change.
This is a hands-on coordination role suited to someone who enjoys working with people, solving scheduling challenges, and keeping daily operations running smoothly.
Serve as a primary point of contact for incoming job seekers and workers.
Communicate with candidates regarding availability, assignments, schedules, start times, locations, and job requirements.
Receive and document staffing and scheduling requirements from clients.
Match available and suitable workers with client requirements.
Prepare and coordinate daily and weekly employee schedules.
Confirm scheduled assignments with workers and clients.
Monitor worker attendance, availability, cancellations, late arrivals, and schedule changes.
Respond quickly to last-minute staffing requirements and find suitable replacements when necessary.
Maintain accurate records of worker availability, assignments, client requests, and scheduling information.
Update internal systems and databases with worker and scheduling information.
Communicate changes in client requirements to the appropriate workers and internal team members.
Follow up with workers regarding upcoming assignments and schedule confirmations.
Support the onboarding and registration of new job seekers as required.
Assist in collecting required worker documentation and maintaining organized records.
Maintain regular communication with clients to help ensure staffing requirements are fulfilled.
Escalate operational, attendance, performance, or client concerns to management when necessary.
Assist with general administrative and operational duties related to staffing activities.
Help maintain a professional and positive experience for both job seekers and clients.
Post-secondary education in Business Administration, Human Resources, Office Administration, or a related field is preferred.
1–3 years of experience in operations, staffing, scheduling, recruitment coordination, customer service, or a similar role.
Strong organizational and scheduling skills.
Excellent verbal and written communication skills.
Comfortable communicating regularly by phone, email, and messaging platforms.
Ability to manage multiple staffing requests and changing priorities at the same time.
Strong attention to detail and accuracy.
Ability to remain organized and professional in a fast-paced environment.
Strong problem-solving skills and ability to respond quickly to scheduling changes.
Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
Experience with scheduling, staffing, recruitment, CRM, or workforce-management software is considered an asset.
Previous experience in a staffing or recruitment environment is considered an asset.
